- Collect and review all supporting documents required for payment processing (Purchase Request, Purchase Order, Receiving Record, Invoice, etc.), ensuring accuracy, completeness, legitimacy, and compliance with company policies prior to filing by supplier name for payment.
- Prepare Accounts Payable vouchers and process payments in a timely and accurate manner in accordance with approved payment schedules.
- Post all Accounts Payable transactions into the sub-ledger and ensure reconciliation between the AP sub-ledger and the General Ledger.
- Maintain an organized and up-to-date filing system for all creditors, ensuring outstanding invoices align with the Accounts Payable ageing report.
- Perform monthly reconciliations of AP sub-ledger accounts with supplier statements and resolve discrepancies promptly.
- Generate system payment summaries and ensure approved invoices are paid within agreed credit terms.
- Stamp all paid documents appropriately after payment approval to prevent duplicate payments.
- Safeguard cheque books and properly control the issuance of cheques in compliance with internal control procedures.
- Support month-end closing processes and provide required documentation for internal and external audits.
- Coordinate with Procurement, Cost Control, and other departments to ensure smooth payment operations..

- Minimum 2–3 years of experience in Accounts Payable or Payment Accounting; experience in a 4–5 star hotel or resort is highly preferred.
- Strong knowledge of invoice verification, payment processing, and vendor reconciliation.
- Proficient in Microsoft Excel and accounting software; experience with ERP systems (e.g., SunSystems, SAP) is an advantage.
- Detail-oriented, trustworthy, and highly responsible.
- Strong organizational skills with the ability to work under pressure and meet payment deadlines.
- Good communication and teamwork skills.
